Policies and Procedures

Payment Procedures: Tuition will be collected electronically in automatic payments on the first day of every month via our secure system. Students must provide a valid checking account number or credit card number (additional $3 per month for credit cards) at the time of enrollment. All charges will appear on your bank statement or credit card statement as being from the Powell Academy of Music LLC. Tuition will be based on the total number of lessons each month and will be higher if a month has five weeks.

Credit Card Processing Fee: An additional $3 credit card processing fee will be charged monthly to those who choose to use their credit card for automatic billing. Those using their checking account (ACH) will not be billed any additional processing fee. If you used your credit card initially to register, please visit your account and change your payment method to ACH if you would like to avoid the monthly credit card processing fee.

Student Cancellations: Each student’s private lesson time is reserved exclusively for that student. We do not issue refunds or credits when students miss lessons, nor will we extend lessons due to a student’s late arrival. Because we understand that illness or special situations arise, all students will be permitted to attend one make-up lesson for every missed lesson for which a minimum of 6-hour notice is given to the front desk (not the instructor). For those situations, make-up lessons will be available on a first-come, first-serve basis as they are made available due to other student’s absences. Students will be permitted to choose a make-up lesson from the available make-up lesson times with their instructor. Make-up lessons are valid throughout the duration of the student's enrollment at the Academy, and expire only upon withdrawing.

Instructor Cancellations: In the case that your regular instructor needs to cancel your lesson, we will attempt to secure a substitute instructor. Working with another instructor on rare occasions is a valuable opportunity to gain insight from another professional, and we encourage you to attend as normal. If you decide not to attend, our normal student cancellation procedures will be in effect (see above). If we are unable to secure a substitute instructor, we will have to cancel the lesson and will issue your account with a make-up lesson pass to use at your convenience. You will always receive adequate and timely notification of either situation.

Inclement Weather or Other Emergency Closures: If the school must cancel classes due to extreme weather or events beyond our control such as power outages, the missed lessons will be made up during holiday breaks. If you cannot attend the scheduled make-up day you can cancel that class and reschedule using our regular make-up policy. No refunds for lessons missed due to these reasons will be given.

Withdrawal Policy: We require 30 days notice to discontinue lessons. Withdrawal can be done in-person at the front desk, through calling the main school phone number or by emailing the office. Withdrawal must be done with our office staff and NOT with your instructor. All automatic charges will stop after the 30 days notice period. The school reserves the right to terminate lessons for any reason. In this case a refund of any unused classes will be given.

Substitutions: The school reserves the right to provide a substitute teacher if the regularly scheduled teacher is ill or otherwise unable to teach classes. If a teacher is ill and the school cannot arrange a substitute any missed classes will be made up.

Care of Students: The school is not responsible for providing before or after class care for students. Parents with students under the age of 6 are to remain in the school during classes. Students are not to be left at the school for excessive time before or after class. A parent or guardian must remain in the home during all in-home music lessons. Children under the age of 18 are no to be left alone with teachers during the in-home music lessons.

Injuries: Parents, legal guardians of minor students and adult students waive the right to any legal action for an injury sustained on school property resulting from normal lesson activity or any other activity conducted b the students before, during or after class time.

Photo Release: The school is hereby granted permission to take photographs of the students to use on social media and its’ website for promotional purposes.
